The point of data validation is to pick the list in a drop down fashion. It will ease your work by allowing you to select the entries from the drop down rather than you writing for it. It saves a lot of time when it comes to large dataset.

Data validation is an important function available in Excel. It basically prevents any wrong input entryfrom the end of data entry operator or user. Most frequently used restrictions are as follows : 1) Enter the input data only through selection from a predetermined drop down list. This ensures zero spelling mistakes while entering. 2) Restrics data entry within a specified range of values (Say not below 10 or not more than 20). So, the said input data field rejects any input value entry which is not falling within that predefind data range. 3) Ensures Input data entry within specified dates or within a specified time period. So, the input data field acceps only the date entered which is falling in between the specified dates previously determined by the user (say within 01/01/18 to 30/09/18) 4) It ensures text data entry within a specified number of characters (Say upto 25 characters or letters). Error message or warning messages can be displayed for any wrong input entry in data validated fields. It immensely helps the management to minimise error at the input data entry level while the volume of entry is huge and requires large number of persons to accomplish the job. I have tried to explain the basic features of Data Validation and its usage, however handling some practical problems will bring more clarity about the concept. read less

To give you an example - during my consulting with a NGO the employees would enter names of the same hospital in different ways and with different spellings which became a hindrance to create reports and get the right idea of the operations of the NGO.
